New Communication Channels for Minnesota State Zoom Users

As Zoom has emerged as an essential tool for teaching and learning through COVID-19 pandemic this past year, the team that administers the Minnesota State subscription to Zoom wants to provide those using the service with the latest information.  As a result, we have added the email address associated with your Minnesota State Zoom account to this listserv.

<strong>Listserv Service (Opt Out)</strong> - We plan to use this listserv as the main channel to communicate major updates and/or changes to the Zoom.  You can use the options at the bottom of this message to unsubscribe to future messages.

<strong>Zoom User Community on Microsoft Teams (Opt In) </strong>- You are also welcome to join the Minnesota State Zoom Users Community hosted on Microsoft Teams.  The <a href="https://teams.microsoft.com/l/team/19%3a132fdf53722041209e620bb2cb11c84d%40thread.tacv2/conversations?groupId=1dc082ae-96d7-4f0d-a869-2f093fd386aa&tenantId=5011c7c6-0ab4-46ab-9ef4-fae74a921a7f">Zoom Users Community</a> site is a place where we’ll post minor updates and/or changes to the Zoom service.  This is also an excellent place for faculty, students, and staff from across Minnesota State to share ideas and practices with others.

Major Zoom Service Updates for Fall 2020

The following is a summary of major updates to our Minnesota State Zoom service for fall 2020.  You can review all <a href="https://support.zoom.us/hc/en-us/sections/201214205-Release-Notes">release notes by date or product</a> via the Zoom support website. 


Waiting Room andor Passcode requirement starts September 27, 2020 

Starting September 27, Zoom will require that all meetings have a Passcode or a Waiting Room enabled for Minnesota State. 

Those hosting meetings are in control of their meeting security selections, so you can add a passcode of your choice and/or enable the waiting room feature.  If neither option is enabled by September 27, Zoom will enable a Waiting Room on your meetings for you.  

If a participant is <a href="https://asanewsletter.org/zoom-sign-in/">signed into their Zoom client via single sign on (SSO) </a> they will bypass the waiting room and a host will not need to let participants in from the waiting room. Auto Captioning in Real-Time Coming Soon

Currently, those who record to the Zoom cloud enjoy automated speech to text transcripts.  Although we have not received an exact date of when this featured will be released to our account, Minnesota State Zoom administrators were informed by Zoom that real-time auto captioning services will be enabled for all licensed education customers later this fall.  

As a reminder, although these automated captions and transcripts continue to improve, captions or transcripts generated through automated speech recognition will not comply with the Americans with Disabilities Act.   See more Accessibility features available with Zoom.

Update/Upgrade Your Zoom Client  and Mobile App

Zoom <a href="https://support.zoom.us/hc/en-us/articles/360042414611">regularly provides new versions of the Zoom desktop client and mobile app</a> to release new features and fix bugs. Unless there is a critical update required, you won’t be prompted by Zoom to update the software.  

You can make sure you have the latest features available when you <a href="https://support.zoom.us/hc/en-us/articles/201362233-Upgrade-update-to-the-latest-version">manually check for updates</a> to your application.  

Please note, for individuals who have campus provided devices, your campus may manage the deployment of Zoom on your computer and will “push out” an update to your device.

Auto saving chat Messages

Currently the default setting for the Minnesota State Zoom account is to automatically save the transcript of all chat messages to the host’s device.  

On Thursday, September 3, Minnesota State admins will change this default setting so that chat messages are no longer saved automatically.  At any time, you can adjust your <a href="https://support.zoom.us/hc/en-us/articles/115004792763-Saving-in-meeting-chat">user-level settings for how chat messages are handled</a> for the meetings you host.  

Please note, if a meeting host exchanges private messages with participant(s), these private messages will be captured by the chat transcript saved to the host’s device.  Private messages exchanged between participants are not viewable by the host.  Finally, if the hosts record to the Zoom cloud, no private messages are captured or displayed in a chat transcript saved to the Zoom cloud.

Reminders about the Minnesota State Zoom Service

<strong>Minnesota State are licensed education customers</strong>
There are four different types of accounts available from Zoom.  Regardless of what campus you call home, everyone affiliated with Minnesota State falls under the same Zoom account (<a href="https://minnstate.zoom.us">https://minnstate.zoom.us</a>) as <a href="https://support.zoom.us/hc/en-us/articles/201363173-Account-Types">licensed education users</a>.  With this account you can create an unlimited number of Zoom meetings with up to 300 attendees per meeting.  All meetings have a maximum duration of 24 hours.

<strong>Configuring Your Zoom Experience</strong>
When allowed by Zoom, the administrators of the Minnesota State Zoom service can make changes to the <a href="https://support.zoom.us/hc/en-us/articles/115005756143">default settings</a> for all users within the Minnesota State Zoom account.  

The administrators of the Minnesota State Zoom service consult with the members of the Media Management and Web Conferencing (MMWC) Committee of the Academic and Student Affairs (ASA) Technology Council when changes to the default settings for the Minnesota State account are requested.  Individual users can always have the autonomy to change their <a href="https://minnstate.zoom.us/profile/setting">user-level meeting settings</a>.
